Many couples plan most of their wedding themselves. They find the venue, choose their suppliers, design the details and carefully bring everything together over many months.


By the time the wedding day approaches, the planning may largely be complete. Which is exactly when many couples start looking for on the day coordination.


This role is often misunderstood.


On the day coordination is not simply someone arriving in the morning and making sure the timeline is followed. It is about taking everything you have spent months organising and turning it into a smooth, well run event.


A wedding with 200+ guests can involve dozens of suppliers, multiple deliveries, ceremony timings, catering service, speeches, entertainment and constant movement of guests throughout the day. Someone has to bring all of those pieces together.

A good coordinator will review your plans in advance, speak with your suppliers, create a detailed timeline, confirm logistics with the venue and make sure every supplier knows exactly what is happening and when. On the day itself, they are the person overseeing the set up, directing suppliers, guiding guests, managing timings and quietly resolving any issues that arise.


This is the difference between a wedding that simply looks beautiful and one that actually runs smoothly.

Social media can sometimes give the impression that weddings are all about styling and aesthetics. Those things are important, but they are only part of the picture.


What couples do not see online is the operational side of a wedding day. The timeline management, the supplier coordination, the guest flow, the small adjustments that keep everything running on time when real life inevitably intervenes.

Why am I writing about this now?


Recently I had a couple decide to go in a different direction and work with a planner whose "influencer" style aligned more closely with what they had seen online. That is of course entirely their choice, and every couple should choose the person they feel most comfortable with.


However, having later seen the timeline for the day, I was genuinely surprised at how inaccurate some of the timings were and how little allowance had been made for the natural flow of a wedding with a large number of guests.


It was a reminder of something I often say to couples.


Weddings are not rehearsals. They are one-off events. There is no opportunity to pause, reset and try again.


When a timeline is not structured properly, the day can very quickly begin to run late. Service overruns, speeches push into the evening entertainment, and the carefully planned moments couples were looking forward to can become rushed or squeezed.


This is why experienced wedding coordination services matters so much. It is not about aesthetics or social media presence. It is about understanding how a wedding day actually works behind the scenes and building a timeline that allows everything to flow naturally.
